Getting Started with Networks

Networks is a feature you’ll find in the KisanHub web app. Here you can see all your Suppliers and Customers in one place along with your trading history, records of supplier certificates and your Technical Manager can configure Load Passports.

Who is Networks for? Grower Managers, Supply Chain Managers and other procurement or support teams.

What do I get from using Networks? With Networks you get a way to view and manage your Supplier network and your customer records. 


How can this help me? Keeping digital supplier records up to date and in one place ensures you are not dependent on chasing paper and all your team members have access to the same information, in real time. Plus, we will regularly be adding improvements to make managing your supplier network easier.


Does it come with my current license/subscription to KisanHub? Yes, this tool is available to any paying KisanHub client. 

How to use Networks

  1. Overview 

You can find Networks under “Supply Chain” in the menu 


Underneath the main menu, there is a second menu where you can move between

  1. The Directory

  2. Network 

  3. Your Organisation


A. The Directory


The KisanHub Directory is like a phone book of organisations that trade fresh produce. 


Search for suppliers and customers and click the link icon to connect



B. Network


The left hand panel is your Network - a list of suppliers and customers you trade with. 


You create this list by connecting to suppliers and customers from the directory. 


When you select an organisation from your list you can add Trading Agreements and Certificates for your suppliers and customers.

This is where you configure Load passports that will be used by your network

In the Overview above we described how to use the Directory to connect with your suppliers and customers in order to build your network. 

Reminder: Click on the connect icon or use the secondary menu to go to Directory. Then search and click the link icon to connect to your selected organisation. 

In case you are wondering:

  1. Can I add to the Directory? No. If a supplier or customer is missing, tell us by submitting a ticket via freshdesk

  2. Who else can see the Directory? Any paying customer in KisanHub can access the Directory.

  3. Can anyone outside of my organisation see who I am connected with? No. If you are connected to a supplier or customer who is also a paying customer of Kisanhub, you can see them and they can see you, but they cannot see anyone else you are connected to.

  4. Is there a limit to who I can connect with? No. It's up to you. 

  5. If I stop working with a customer or supplier do I have to disconnect? No. It’s up to you. 

  6. What if I disconnect and then reconnect, will I lose the information I had previously saved? No, it stays in the background and when you reconnect, the history becomes visible again. 

  1. Add Trading Agreements

Tip: this is a crucial part of configuring your business to use Paperless Load Tickets.


If you are using Paperless Load Tickets, thank you.

To add a trading Agreement:

  1. Select the supplier or customer from Network

  2. Click on Add a trading agreement or 

  3. Complete everything item in the form, making sure that: 

    1. Select “Sales” if you are selling to the selected organisation, i.e. the customer 

    2. Select “Purchase” if you are buying from the selected organisation, i.e. the supplier 

    3. Make sure your contract reference is recognisable by people who will fill in load tickets for you

    4. You can add multiple email addresses. Each email will receive advice of each digital load ticket so consider the Haulier, Customer, Supplier, Admin, Operations etc. Tip: sending to centralised inbox is more efficient than using individual email addresses. 

  4. Click Save

  5. If you click cancel, anything you entered will be lost

In case you are wondering:

  1. Who can see my trading agreements? Trading agreements can only be seen by your organisation and the customer or supplier you have named, and only if they are also a paying customer of KisanHub 

  2. Add Certificates

Tip: if you keep records of your supplier certificates then add them to KisanHub so that the certificate reference can be sent with the Paperless Load Tickets. This will save time for people who write load tickets and keeping digital records will remove the risk of errors. 

To add a Certificate:

  1. Select the supplier or customer from Network

  2. Click on Add a certificate or 

  3. It is mandatory to add:

    1. Certificate

    2. Reference (the unique reference given to the supplier for this certificate)

    3. Issue Date

    4. Renewal Date (this could also be the expiry date)

  4. It is optional to add:

    1. Classification, e.g. Cereals, Poultry

    2. Issued by, i.e. the accrediting organisation

    3. An image (photo) of the original certificate

  5. Click Save

  6. If you click cancel, anything you entered will be lost


In case you are wondering:

  1. Who can see certificates I add? Within Networks, Certificates can only be viewed by your organisation and the customer or supplier you have named, and only if they are also a paying customer of KisanHub. 

  2. What are the stored certificates details used for? When a Digital Load Ticket is sent, the certificate name, reference and dates for active certificates will be shared on email to give you point-in-time traceability.  

  3. Configure Load Passports

Tip: this is the most important part of configuring your business to use Paperless Load Tickets.


If you are using Paperless Load Tickets, thank you.

To add a Load Passport template:

  1. Select the customer you will be delivering to from Networks list

  2. Click on Passport tab on the right and then Add a passport or 

  3. Give your Load Passport Template a name

  4. Select a crop from the drop down

  5. On the left, you will see all the data you can ask for on you Load Tickets

  6. Use the show/hide column on the right to indicate which should be added to your load passport template 

  7. If you want to make something mandatory, use the switch in the second to last column

  8. Near the bottom of the template builder, you can: 

    1. Allow “Internal notes” so that people can add comments that are only seen within your business

    2. Allow “Load Ticket comments” that anyone can see

    3. Create chemical declarations and request the date of last application

    4. Create a final declaration for the user to confirm before sending a load ticket. 

  9. When you are satisfied, click Publish 

  10. It is optional to add comments to remind yourself about each version of the template you publish

  11. If you click cancel, anything you entered will be lost



Key

When you see this icon, it shows that it is mandatory for every Load Ticket sent via the KisanHub platform

When the show/hide icon is grey it means this will not be shown on the load ticket

When the show/hide icon is blue, it will be shown on the load ticket

When the required column is switched “off”, it means that completing this is optional on the load ticket

When the required column is switched “on”, it means that completing this is mandatory on the load ticket
